Position Overview
We are seeking a highly organized, proactive, and personable Office Manager to become the operational heartbeat of a busy real estate brokerage office.
This role is ideal for someone who thrives in a fast-paced environment, enjoys taking ownership, and can keep multiple moving pieces organized without needing constant direction. You will manage communication, scheduling, listing coordination, and day-to-day office operations while helping leadership stay focused and efficient.
Requirements
Previous office administration, executive assistant, or office management experience
Strong multitasking and organizational skills
Excellent written and verbal communication
Ability to work independently and take initiative
Comfortable managing calls, emails, WhatsApp communication, and scheduling
Detail-oriented, reliable, and highly responsive
Professional and pleasant demeanor
Comfortable in a busy, fast-paced environment
Key Responsibilities
Manage incoming calls, emails, and office communication
Coordinate calendars, appointments, property showings, and open house logistics
Support agents and leadership with administrative follow-through
Handle newsletters, meeting coordination, lunches, and office-related tasks
Help maintain organization and smooth day-to-day office operations
Act as a gatekeeper and streamline communication for leadership
Proactively identify and handle tasks that need attention
