Position Title: Onboarding Specialist

Position Overview:
The Onboarding Specialist is responsible for coordinating and executing the onboarding process for newly hired clinical and non-clinical staff. This role ensures that all pre-employment requirements are completed accurately and on time, and that new employees are properly prepared to begin work in compliance with medical, regulatory, and organizational standards. The ideal candidate is highly organized, detail-oriented, and experienced in healthcare onboarding or human resources operations.
Key Responsibilities:
Coordinate onboarding for new hires across multiple departments, including clinical and administrative roles.
Collect, verify, and maintain required employment documentation such as I-9 forms, background checks, immunizations, TB testing, drug screens, and professional licenses.
Ensure compliance with healthcare regulations, accreditation standards, and internal policies.
Schedule and track orientation sessions, trainings, and department introductions.
Communicate clearly with candidates regarding onboarding steps, deadlines, and required documentation.
Work closely with Human Resources, Credentialing, and Department Managers to ensure smooth transitions into active employment status.
Maintain accurate and confidential employee records in HR and onboarding systems.
Monitor onboarding timelines and proactively resolve delays or missing requirements.
Assist with audits related to personnel files and regulatory compliance.
Provide ongoing support to new employees during their initial employment period.
Qualifications:
High school diploma required; associate s or bachelor s degree in Human Resources, Healthcare Administration, or related field preferred.
Minimum 1 2 years of experience in healthcare onboarding, HR, or medical office administration preferred.
Knowledge of healthcare compliance requirements, including immunizations, TB testing, and licensure verification.
Strong organizational and time-management skills with the ability to manage multiple files simultaneously.
Excellent written and verbal communication skills.
Proficiency with HRIS systems and Microsoft Office or similar software.
Ability to handle sensitive and confidential information with professionalism.
Compensation:
$25-30 per hour DOE
