Executive Assistant
Position Overview We are seeking a highly organized, detail-oriented Executive Assistant to support a busy Title Executive in a fast-paced title/real estate environment. This role requires exceptional scheduling, coordination, and communication skills, along with the ability to manage confidential information and keep complex workflows moving smoothly. Key Responsibilities
Executive Support & Scheduling
Manage a high-volume, constantly changing executive calendar
Coordinate internal and external meetings, calls, and appointments
Prioritize scheduling requests based on urgency and business impact
Prepare daily and weekly schedule briefs
Arrange travel, site visits, and closing attendance when needed
Communication & Coordination
Serve as primary point of contact for the executive s scheduling and availability
Screen and route calls, messages, and requests
Draft and send professional correspondence on behalf of the executive
Coordinate with lenders, attorneys, clients, underwriters, and internal staff
Follow up on outstanding items to ensure deadlines are met
Operational & Administrative Support
Prepare meeting materials, reports, and document packets
Track tasks, commitments, and action items
Maintain organized digital and physical filing systems
Handle sensitive and confidential information with discretion
Support project coordination across title and closing workflows
Title Industry Support (Preferred)
Coordinate closing schedules and logistics
Assist with document tracking and status updates
Liaise with title staff regarding file readiness and timing
Monitor transaction timelines and flag conflicts early
Qualifications
3+ years Executive Assistant or high-level administrative support experience
Strong calendar and priority management skills
Excellent written and verbal communication
Advanced organizational ability and attention to detail
Ability to manage multiple competing priorities
High level of discretion and professionalism
Proficiency in Microsoft Office / Google Workspace
Experience with title, real estate, or legal environments preferred
