Director of DME Operations
We are seeking an experienced and highly organized Director of DME Operations to build, manage, and scale a CPAP operations department. This role will fully own the end-to-end operational workflow, from patient intake and order processing through insurance billing, product fulfillment, and post-delivery follow-up. The ideal candidate has deep experience in CPAP equipment or DME operations, understands insurance billing and reimbursement, and can design efficient workflows while managing and developing a high-performing team. Responsibilities: Fully own and manage the CPAP / DME operations department Build, implement, and continuously improve operational processes and workflows Hire, train, supervise, and develop intake, billing, and fulfillment team members Establish clear roles, responsibilities, and performance metrics Ensure smooth coordination between intake, billing, delivery, and customer support Oversee intake of new CPAP orders from physicians, sleep labs, and referral sources Ensure complete and accurate documentation is collected (prescriptions, clinical notes, insurance details) Implement standardized intake processes to reduce delays and errors Monitor turnaround times and intake quality Oversee insurance eligibility verification, prior authorizations, and claims submission Ensure accurate and timely billing to insurance companies Manage denials, appeals, resubmissions, and payment posting Ensure compliance with payer rules, documentation requirements, and reimbursement guidelines Track KPIs related to billing performance, collections, and aging AR Oversee CPAP device setup, delivery coordination, and patient onboarding Ensure products are delivered accurately, on time, and documented properly Coordinate inventory, shipping, and logistics Ensure delivery documentation supports billing and compliance requirements Design and document SOPs for intake, billing, delivery, and follow-ups Create efficient workflows that reduce bottlenecks and improve turnaround times Implement tools, checklists, and tracking systems to improve visibility and accountability Identify operational gaps and proactively resolve issues Ensure all operations comply with healthcare regulations, payer requirements, and internal policies Maintain accurate records for audits and compliance reviews Partner with leadership to mitigate risk and ensure operational integrity Qualifications: 3+ years experience in DME or CPAP operations, including insurance billing Strong understanding of insurance reimbursement, authorizations, and claims Proven experience building and managing operational workflows Prior experience managing teams Strong organizational and leadership skills Excellent attention to detail and process discipline Strong communication skills with internal teams and external partners Experience with DME billing systems, EMRs, or healthcare CRMs preferred Location: Brooklyn NY Salary: $100K
