Project Coordinator / Office Administrator
Position Summary: We are seeking a highly organized and detail-oriented Office Administrator to support the operations of a growing fire alarm company. This role combines office administration with proposal preparation, estimating, plan takeoffs, and coordination of FDNY inspections and compliance documentation. The ideal candidate is sharp, proactive, and comfortable handling both administrative responsibilities and project-related paperwork in a fast-paced environment. Salary: $60,000 – $80,000 (based on experience) Responsibilities: -Prepare proposals and estimates for fire alarm projects -Perform plan takeoffs from drawings and plans to assist with estimating -Coordinate and track FDNY inspections, filings, and related documentation -Maintain records related to permits, compliance, and project documentation -Assist with contracts, legal paperwork, and compliance documentation -Communicate with technicians, project managers, clients, and inspectors -Manage emails, phone calls, scheduling, and general office coordination -Organize and maintain office files, proposals, and project documentation Qualifications: -Strong organizational and multitasking skills -Excellent attention to detail and problem-solving ability -Professional communication skills -Comfortable working with technical documents, proposals, and project paperwork -Proficiency in Microsoft Office and general office systems -Ability to work independently while keeping multiple projects organized Preferred (Strong Plus): Previous experience working with a fire alarm or fire protection company Familiarity with FDNY inspection and filing processes Experience with estimating, proposals, and plan takeoffs Knowledge of NYC fire alarm compliance and permitting processes
